Pick a stable record key
Use an employee ID, SKU, invoice number, or another field that remains stable between versions. Row numbers are not reliable because sorting and inserted rows change their positions.
Normalize before comparing
Trim spaces and standardize date, number, and case conventions. Cosmetic differences should not hide genuine changes or inflate the change count.
Separate change types
Review added rows, removed rows, and modified fields separately. A removed record may be intentional, while a changed bank account or price may require approval.
Review side by side
Keep the old and new values visible together with the record key and changed field. Context helps a reviewer distinguish a correction from an accidental overwrite.
Reconcile in controlled batches
Accept an entire row or column only after checking a representative sample. Export a new reconciled workbook and retain both originals as evidence.

Why not compare Excel files by row number?
Row order can change without the underlying records changing. Matching by a stable business key produces a more accurate comparison.
Can I accept a whole row or column?
